This Data Retention and Data Lifecycle Policy describes the principles and operational guidelines governing how MaxFusion Group Inc. and its affiliated entities retain, archive, de-identify, and delete information processed in connection with their websites, services, digital platforms, and commercial activities.
This document forms part of the MaxFusion Group privacy and data governance framework and should be read together with the MaxFusion Group Privacy Policy, the MaxFusion Group Sub-Processor Disclosure, and the applicable Terms of Use governing the services operated by the Group Companies.
This policy applies to MaxFusion Group Inc., Hanson Energy Inc., ReFusion Recycling Inc., and Inquill Agency LLC, together with any subsidiaries, affiliates, or operating divisions that may from time to time operate under the MaxFusion Group ecosystem (collectively referred to as the “Group Companies”).
The purpose of this policy is to ensure that information processed by the Group Companies is retained only for as long as reasonably necessary to fulfil legitimate operational, contractual, regulatory, and security purposes, and that information is securely deleted, anonymized, or archived when those purposes have been satisfied.
The Group Companies follow several core principles in determining the retention period for information.
Information is retained only for as long as necessary to fulfil the purpose for which it was collected, including operational service delivery, contractual obligations, legal compliance, financial recordkeeping, dispute resolution, and the protection of the rights and interests of the Group Companies.
Where possible, the Group Companies seek to minimize long-term storage of personal information by applying data minimization practices, including periodic deletion, anonymization, and archival processes designed to reduce the exposure of unnecessary data.
Where information is required to be retained for longer periods due to legal or regulatory requirements, such information will be securely stored with restricted access controls and retained only for the duration required by applicable law.
Certain operational systems used by the Group Companies may also maintain backup copies of information for disaster recovery purposes. Such backups are retained in accordance with infrastructure provider policies and are overwritten according to standard backup rotation cycles.
This retention schedule applies to several broad categories of information processed by the Group Companies, including personal information, operational data, technical system data, financial records, and contractual documentation.
These categories include, but are not limited to, information submitted through website forms, communications with clients and partners, customer relationship management records, project documentation, analytics and system logs, financial transactions, and information stored within digital collaboration platforms.
The specific retention periods associated with these categories are described in the retention schedule below.
The following table provides general guidelines regarding how long different categories of information may be retained by the Group Companies.
These Terms of Use (“Terms”) govern access to and use of the MaxFusion Group website and related digital platforms operated by or on behalf of MaxFusion Group Inc. (“MaxFusion Group,” “MFG,” “we,” “our,” or “us”).
By accessing or using the MaxFusion Group website or any related digital platforms (collectively, the “Site”), you agree to be bound by these Terms. If you do not agree with these Terms, you should discontinue use of the Site.
These Terms apply to all visitors, users, partners, vendors, and other individuals who access the Site.
The MaxFusion Group website is provided for informational and communication purposes relating to the activities of MaxFusion Group and its affiliated companies operating within the broader MaxFusion ecosystem.
Content presented on the Site may include information relating to solar energy infrastructure, asset lifecycle management, equipment supply chains, repowering initiatives, recycling and circular recovery programs, digital infrastructure services, and other sustainability-related initiatives.
The Site may also include descriptions of technologies, capabilities, projects, research, or partnerships associated with MaxFusion Group or affiliated entities.
All materials provided through the Site are intended solely for general informational purposes and do not constitute professional, financial, engineering, legal, or investment advice.
Users should not rely on information presented on the Site as a substitute for professional consultation appropriate to their circumstances.
MaxFusion Group operates as a coordinating ecosystem platform supporting companies engaged in renewable energy infrastructure, supply chain coordination, repowering initiatives, recycling programs, and digital infrastructure development.
Affiliated companies within this ecosystem may include entities such as Hanson Energy Inc., ReFusion Recycling Inc., Inquill Agency LLC, and other affiliated platforms or initiatives.
Each affiliated company operates as an independent legal entity responsible for its own operations, contractual relationships, and regulatory compliance.
Digital infrastructure used across the ecosystem may be developed, maintained, or operated by Inquill Agency LLC, which provides digital platform development, communications systems, analytics infrastructure, marketing systems, and automation technologies supporting companies within the ecosystem.
Where users interact with forms, communications systems, digital infrastructure, or analytics tools associated with MaxFusion Group or its affiliated companies, those systems may be governed by additional policies maintained by Inquill, including the Inquill Terms of Service, Inquill Privacy Policy, and the Inquill Client Data Processing Addendum where applicable.
MaxFusion Group also maintains group-level governance policies covering privacy protection, data retention, and infrastructure transparency, which may include the MaxFusion Group Privacy Policy, Data Retention Policy, and Sub-Processor Disclosure documentation.
Nothing contained within the Site should be interpreted as creating a legal partnership, joint venture, agency relationship, or contractual relationship between MaxFusion Group and other ecosystem participants unless expressly established through a separate written agreement.
Users agree to access and use the Site only for lawful purposes and in a manner consistent with these Terms.
Users may not engage in activities that interfere with the normal operation, security, or integrity of the Site or associated systems.

MaxFusion Group reserves the right to restrict access to the Site or associated systems where misuse is detected.
All content appearing on the Site, including but not limited to text, graphics, diagrams, images, reports, frameworks, software components, and design elements, is the property of MaxFusion Group or its licensors unless otherwise indicated.
This content is protected by applicable copyright, trademark, and intellectual property laws. Users may view and download materials from the Site solely for personal or internal informational purposes.
Users may not reproduce, distribute, modify, publish, transmit, or commercially exploit any materials from the Site without prior written authorization from MaxFusion Group.
All trademarks, service marks, and logos displayed on the Site remain the property of their respective owners.
MaxFusion Group makes reasonable efforts to ensure that information presented on the Site is accurate and current.
However, the Site may contain technical inaccuracies, typographical errors, or outdated information relating to projects, capabilities, or market conditions.
Information may be modified or updated at any time without prior notice.
MaxFusion Group makes no representations or warranties regarding the completeness, accuracy, or reliability of information provided on the Site.
The Site may include links to third-party websites, services, or digital platforms operated by partners, vendors, or affiliated organizations.
These external platforms operate independently of MaxFusion Group and are governed by their own terms and privacy policies.
MaxFusion Group does not control and is not responsible for the content, practices, or security of third-party platforms.
Accessing third-party platforms is done at the user’s own discretion and risk.
To the fullest extent permitted by applicable law, MaxFusion Group shall not be liable for any direct, indirect, incidental, consequential, or special damages arising out of or related to the use of, or inability to use, the Site.
This includes damages resulting from reliance on information provided on the Site, interruptions to Site availability, or unauthorized access to digital systems.
The Site and all materials contained therein are provided on an “as available” and “as is” basis without warranties of any kind.
Information submitted through the Site, including through forms, communications tools, or digital infrastructure supporting ecosystem operations, may be processed in accordance with the MaxFusion Group Privacy Policy.
Additional governance frameworks relating to data handling and digital infrastructure may include the Data Retention Policy and Sub-Processor Disclosure documentation maintained by MaxFusion Group.
Users are encouraged to review these policies to understand how information may be collected, used, and protected.
MaxFusion Group may revise these Terms from time to time to reflect operational changes, regulatory developments, or updates to the Site.
When changes are made, the “Last Updated” date at the beginning of these Terms will be revised.
Continued use of the Site following updates constitutes acceptance of the revised Terms.
These Terms shall be governed by and interpreted in accordance with the laws of the jurisdiction in which MaxFusion Group Inc. is incorporated, without regard to conflict of law principles.
